What should importers record when wall panel cartons arrive damaged?

A crushed carton corner does not tell you how many panels are affected, when the damage happened or who should resolve it. A receiving team needs a record that connects the shipment to the packaging and the actual pieces. Whether the final delivery is to a Brazilian distributor, a Gulf project warehouse or an inland buyer in Uzbekistan, clear inspection records are more useful than a single close-up sent without context.

Short answer

First keep unloading safe, then record shipment identity, visible packaging condition, affected cartons and inspected pieces. Preserve original evidence and contact the parties named in your shipment procedure promptly. Reporting damage is not the same as submitting a formal claim, and neither guarantees compensation.

Prepare the receiving process before the vehicle arrives

Assign a receiving contact and establish how delivery exceptions are recorded. Have the purchase reference, packing list and shipment identifiers available, along with the carrier, supplier and insurance contacts applicable to the order. Confirm the actual reporting channels and time limits from the relevant agreements; do not copy a deadline from a different route or carrier. Maersk’s Ground Freight guidance distinguishes damage notification from a formal claim and requests shipment and damage evidence. Its procedure is an example, not the rule for every wall-panel shipment. Arrange safe access for inspection and the equipment required by the load; evidence collection must not expose staff to unstable cargo.

Photograph the context before isolating the damaged corner

When safe and permitted, take an overall view of the received load, then the relevant pallet or carton, its identification and the visible impact area. Keep original photographs and their sequence. Record the receiving location, time and observer, and distinguish what was visible before unloading from what was found later. Note observed exceptions accurately in the delivery record through the applicable procedure; do not make an unsupported statement about the cause. A damaged corner, a wet package and a missing carton are different observations. Capture the label connecting each observation to the packing list rather than sending untraceable images of anonymous boxes.

Count inspected pieces separately from damaged cartons

A carton count is not a panel-damage count. Record how many cartons were received, how many were inspected, which pieces show damage and which quantities remain unchecked. Distinguish a damaged protective layer from damage to the decorative face, edge or connection. Open and handle suspect packages according to the product and receiving procedure, retaining relevant packaging rather than discarding it immediately. Set aside affected goods with clear identification; do not mix them into saleable stock or install them before the disposition is agreed. Do not extrapolate one opened carton to the whole shipment without a defined inspection basis.

Send one evidence pack and keep the decision trail

Combine the shipment reference, delivery record, packing-list mapping, photographs, inspection quantities and a factual description. Notify the contacts required by the contract and ask whether a survey or further inspection is needed before repair, disposal or return. Follow any insurer or carrier instructions that apply to your shipment. A request for replacement and a transport claim may follow different processes; keep them connected but do not assume one closes the other. Who pays? That cannot be decided from a photograph or an Incoterm alone. Record written decisions, remaining questions and the person authorizing the next action. This checklist organizes evidence; it does not determine legal liability.
