PVC wall panels for Colombia: reconcile the invoice and packing list before shipment

A Colombia PVC wall panel order can look correct in the quotation yet become confusing in the shipping documents. The invoice may use square metres, the packing list may count cartons, and the warehouse may identify panels by a finish code. Before cargo leaves, create a clear connection between those records. This buyer guide covers practical document reconciliation; it does not assign a tariff code, determine taxes or replace a Colombian customs professional.

Short answer

Match each invoice line to a physical product and packing-list line. Confirm unit conversions, actual quantities, package marks and document versions with the supplier and your broker before approving dispatch.

Start with the product, not a generic description

Prepare a master order sheet with the supplier reference, material description, intended use, profile, dimensions and finish code. Keep panels and separate accessories distinguishable. A decorative name such as marble white should not be the only identifier. Ask your Colombian broker what supporting technical information is needed to review the description and classification. MinCIT’s import guidance points buyers to classification and product-specific requirements, and lists commercial invoices, packing lists and transport documents among the import records. Confirm the current requirements for your particular transaction rather than copying another importer’s list.

Build a visible bridge between units

If the invoice is priced by area while the packing list records pieces, show the agreed calculation in your working reconciliation sheet. Distinguish overall panel width from effective coverage where relevant; do not silently use one for the commercial unit and the other for the order total. As an arithmetic example only, 10 cartons containing 12 pieces each represent 120 pieces, not 120 cartons. Any conversion to area still needs the actual agreed dimensions and sales basis. This example is not Luvie packing data. Ask the broker to confirm the units required in official records.

Reconcile the final packing, not the estimate

Ask for the final package count and measured shipping data after packing. Compare carton marks, quantities and any split SKU allocations with the invoice and purchase order. Gross and net weights describe different things and should not be substituted for each other. If a mixed order includes trims or free samples, make them visible in the document review and let the broker advise how they should be declared. Do not omit them merely because they have no separate selling price. Resolve discrepancies through corrected documents, not handwritten explanations that different parties may never receive.

Approve one controlled document set

Use a simple exception log: document, line, discrepancy, responsible person, correction and approval date. For a distributor delivering onward to Bogotá or Medellín, distinguish the consignee information required for import from the later delivery address. Send the same approved version to the supplier, broker and freight coordinator. Recheck affected records if quantity, route or consignee changes. Retain the purchase order, approved specifications and revision history together so a later receiving shortage can be traced without guessing. Approval of your reconciliation is not a guarantee of customs clearance.

Frequently asked questions

Can I copy a tariff code from another PVC panel listing?

Do not rely on a marketplace description. Give the actual composition, profile and intended use to your broker for classification review.

Does the packing list replace the invoice?

No. They describe different aspects of the shipment. Their references and quantities should agree without treating them as interchangeable.

Next step

Send Luvie your Colombia delivery plan and selected PVC references. Request current specifications and draft packing information, then arrange final document review with your broker before shipment.
